Our Healdsburg, California office is located just off the historic Healdsburg, California plaza, offering easy access to strolls, restaurants, and the true gateway to wine country – highway 101. This position is responsible for processing travel reservations including data entry into the Tourplan reservation system. The position works directly with the Program Coordinators to enter new bookings accurately and timely and processes client correspondence. The position also will cross train with and support the Database Maintenance Coordinator position and assists with general office tasks as required.


Essential Duties and Responsibilities:

  • Perform reservation data entry.
  • Create bookings and enter service lines in Tourplan reservation system to create full itineraries.
  • Provide overall reservation administrative support to prepare mailings, documentation, filing, photocopying, scanning, and recordkeeping.
  • Produce travel documents including itineraries and vendor vouchers.
  • Assist in vendor price changes and pricing updates.
  • Perform timely fulfillment of catalogs, brochures and other promotional materials.
  • May run office errands, mail and banking -- must have current CA DL/vehicle.
  • Perform general office duties in a small office environment.
  • Perform other duties and responsibilities as assigned.



  • Associates degree required, bachelor's preferred
  • Or two years of experience in order entry or data entry

  • Highly skilled with Microsoft Office Suite to include expertise with Excel and Word.

This position is responsible for ensuring the highest quality guest experience in everything we do every day. Ensure that the policies and procedures for trips in their assigned division are accurate, well thought out, thoroughly documented, and communicated to staff and management. Manage the safe, efficient, and quality operation of assigned trips to achieve the goals of Bushtracks.


Essential Duties and Responsibilities:

  • Works closely with guests to design tour itineraries, prepare pre-departure trip documents, and implement trip operations.
  • Handles all aspects of the trip to ensure safety, efficiency, customer satisfaction and profitability, including coordinating logistics, communicating with vendors and guests, processing client information and payments, and ensuring that insurance and government regulatory requirements are met.
  • Develops and manages within a budget for each trip.
  • Uses Tourplan reservation system software.
  • Responds within 24 hours/5 days a week to live customer inquiries received through any channel.
  • Assists in maintaining the Bushtracks Contact Management System database and Bushtracks website.
  • Analyzes guest evaluations to refine and improve future departures.
  • Ensures that all sales, promotion, and operations materials are accurate.
  • Assists with special marketing and product development projects.
  • Develops a thorough knowledge of the areas in Africa and every destination in which Bushtracks operates, and the associated supplier products that Bushtracks utilizes in order to further assist client inquiries.
  • May carry the 24/7 duty mobile on a rotating basis.
  • Performs other duties as assigned.

Essential Duties and Responsibilities:

  • Develop, implement, and report on direct marketing activities in coordinated campaigns spanning print, digital, and social media channels
  • Maintain and present annual marketing budget
  • Manage customer life cycle campaigns: birthdays, trip anniversaries, and personalized offers
  • Manage and provide updates to leadership team on contracted marketing agency activities
  • Supervise and coordinate the production or implementation of marketing materials and adhere to deadlines and budget
  • Plan, promote, and implement off-site customer events and multi-media presentations
  • Oversee product life-cycle management with trip development team, from trip launch to promotion to guest follow-up activities
  • Supervise the purchase, design, and placement of media advertisements in local and national publications
  • Conduct interviews with returning guests to capture feedback and testimonials
  • Oversee Livingstone Club past traveler program benefits and referral program
  • Research, write and maintain content for company in compliance with brand standards
  • Produce content for email blasts
  • Implement project management system for documenting and tracking activities.
  • May attend trade shows, company sponsored promotions and events
  • Conduct competitive research
  • Execute and analyze results of advertisement and marketing campaigns
  • Represent Bushtracks in marketing role with Adventure Collection


Preferred Education and Experience: 

  • Bachelor's degree preferred with a focus in Marketing or Advertising
  • Two (2) or more years of experience in marketing in all aspects of developing and maintaining marketing strategies
  • Experience with print marketing preferred.  Technical marketing skills including CRM and database experience relevant product and industry knowledge experience with relevant software applications, including but not limited to: blog publishing platforms, project management, Excel, and Google analytics
  • Excellent MS Excel, Word, Outlook, Adobe Creative Suite, or similar products
